Booking Process
How does the booking process work?

Submitting the booking form constitutes a booking request and does not automatically confirm your reservation. Once we've reviewed your details, confirmed availability, and verified your journey, we'll issue a personalised invoice. Your booking is confirmed once the required 10% booking deposit has been received.

Payment & Deposit
When do I need to make payment?

A 10% booking deposit is required to secure your reservation. The remaining balance is payable upon your arrival in Nepal and must be settled before the commencement of your journey unless otherwise agreed in writing. Your personalised invoice will outline the total trip cost, deposit amount, and payment instructions.

Cancellation & Refund Policy
What happens if I need to cancel or leave the trek early?

Bookings cancelled 28 days or more before departure are eligible for a full refund of the booking deposit. Cancellations made within 28 days of departure are non-refundable due to permits, staffing, accommodation, transportation, and other logistical commitments.

If you are unable to continue your journey after it has commenced, only unused food and accommodation expenses may be refunded at USD 35 per unused trekking day, per person. Guide services, permits, transportation, and other operational costs remain non-refundable.

Insurance
Is travel insurance required?

Yes. Comprehensive Travel and Trekking Insurance is mandatory for all participants. Your policy should cover high-altitude trekking, emergency medical treatment, helicopter evacuation, search and rescue, and trip interruption.

While Darchog Adventures will assist in coordinating emergency services whenever required, all associated costs remain the responsibility of the traveller and should be covered by your insurance policy.

Health & Fitness
Am I responsible for my health and fitness?

Yes. By submitting your booking request, you confirm that you understand the physical and mental demands of Himalayan trekking and are medically fit for your chosen journey. Please disclose any relevant medical conditions before departure so we can prepare and support you appropriately.

Flexibility & Itinerary Changes
Can the itinerary change?

Yes. Mountain travel requires flexibility, and itineraries may occasionally be adjusted due to weather, health concerns, acclimatisation, transportation delays, trail conditions, or other unforeseen circumstances.

Changes may also be requested by travellers where practical. Wherever reasonably possible, any changes will be discussed with all participants before they are implemented.

Journey Extensions & Additional Costs
What if my journey needs to be extended?

Additional trekking days may occasionally become necessary or be requested due to weather, acclimatisation, health concerns, transportation delays, or traveller preference.

Where additional accommodation, meals, guide or porter services, transportation, permits, or other logistical arrangements are required, the associated costs will be the responsibility of the traveller. We'll always explain the available options and associated costs whenever reasonably possible.

Early Withdrawal from the Journey
What happens if I can't complete the trek?

If you're unable to continue your journey due to illness, injury, altitude sickness, or personal circumstances, we'll provide every reasonable assistance in arranging evacuation, transportation, or medical support.

Expenses relating to evacuation, rescue, medical treatment, additional accommodation, or alternative transportation remain the responsibility of the traveller and should be covered by appropriate travel insurance.

Force Majeure
What happens if circumstances beyond our control affect the journey?

Mountain travel is subject to events beyond anyone's control, including severe weather, natural disasters, flight disruptions, road closures, government restrictions, or political events.

While we'll always make every reasonable effort to minimise disruption and identify suitable alternatives, Darchog Adventures cannot be held responsible for delays, cancellations, itinerary changes, or additional expenses resulting from such circumstances.

Liability
Who is responsible during the journey?

Adventure travel involves inherent risks that cannot be completely eliminated. By joining one of our journeys, you acknowledge and accept these inherent risks.

Darchog Adventures is committed to professional guiding, responsible planning, and participant safety, but cannot accept liability for circumstances beyond our reasonable control or for risks naturally associated with trekking and mountaineering.

Privacy
How is my personal information used?

The information you provide is used solely for organising your journey, communicating with you regarding your booking, obtaining permits where required, and complying with applicable legal obligations.

Your personal information is handled in accordance with our Privacy Policy and will never be sold or shared with unrelated third parties except where necessary to deliver your journey or where required by law.
